Which Student Has Our Reserve? Managing Gear Lending at a Busy Paragliding School
It's a question every school operation knows: a piece of kit needs to go out today, and you need to know quickly whether it's available, where it is, and when it comes back.
For small schools with two instructors and a handful of students, this works informally. Everyone knows the gear, the shorthand is enough. Scale that up — multiple instructors, rotating cohorts, course groups on different schedules — and the informal system breaks down. Not dramatically. Just slowly, through small errors that accumulate: double-allocated equipment, service-overdue kit still going out, gear returned without being logged in.
The Problem With Informal Tracking
Most schools land somewhere between a paper register and a shared spreadsheet. These work at small scale because they rely on people's memory to stay accurate. The spreadsheet entry for "reserve lent to group B" is correct until someone hands the reserve to a student from group A without updating the sheet. Then it's wrong, and nobody knows it's wrong until someone checks.
The subtler problem is service tracking. When was the last repack done on that reserve? How many hours has that school wing logged this season? In a spreadsheet, this requires pulling together the lending log and the maintenance records — two separate sheets that almost certainly aren't cross-referenced. And if the wing is a tandem or used for intensive commercial training, the manufacturer's service thresholds are stricter than for recreational wings — that distinction has to be tracked too.
What a Gear Lending System Needs to Do
A workable system has three jobs:
Show current state clearly. At any moment, an instructor should be able to see which items are out, who has them, and when they're due back. Not from memory — from the system.
Prevent double allocation. If a harness is already assigned to a student, it shouldn't be possible to assign it to another without explicitly taking it back first.
Connect use to maintenance. Service intervals are tracked on the same metrics as for any pilot — flight hours, flight count, and calendar time. The system should know where each item stands against those thresholds without anyone having to calculate it.

When the item is returned, the return is logged — building a full lending history for every item over time.

The Maintenance Connection
Service tracking in FreeFly.ing is flight-based, not lending-based. When a student submits a flight log in the app — whether from an IGC file or manual entry — and selects school gear, those hours and flights are automatically accumulated against each gear item. The system tracks cumulative airtime, flight count, and calendar time per item, the same metrics manufacturers use for service intervals.
For school wings used commercially or in intensive training, some manufacturers publish stricter service thresholds than for recreational wings. FreeFly.ing surfaces this distinction per item, so the right threshold applies to the right wing automatically.
When an item approaches a service threshold, it's flagged before the limit is breached — not after someone notices it's overdue.
Practical Impact on School Operations
The immediate benefit is time. Instead of answering "where's the reserve?" by calling three instructors, one person looks at the screen. The answer is current, accurate, and doesn't require anyone's memory.
The second-order benefit is documentation. Schools that can demonstrate a complete lending and maintenance history for their equipment are in a better position when questions arise — insurance assessments, accident investigations, student disputes about which gear they were issued. The record exists, it's timestamped, and it wasn't assembled retroactively.
Better Planning and Budgeting
Accumulated flight data answers questions that schools currently have to estimate: how many hours does each wing log in a season? Which harnesses are seeing the most use? When are services likely to fall due relative to the teaching calendar?
With accurate per-item hour and flight totals, a school can forecast when each piece of kit will reach a service threshold and budget accordingly — rather than discovering three wings need inspection at the same time in the middle of a busy course block. Over multiple seasons, the data shows whether fleet size matches demand, which items work hardest, and what realistic replacement cycles look like based on actual use rather than guesswork.
